QuickBooks Online Integration

When you connect your QuickBooks Online account to MTCS Business Finance, we access the following data through Intuit’s secure OAuth 2.0 API:

Data We Access:

  • Chart of Accounts — account names, types, and balances
  • Transactions — purchases, journal entries, deposits, and bank transactions for the current engagement period
  • Financial Reports — Profit & Loss, Balance Sheet, and Trial Balance
  • Company Information — business name, address, and accounting preferences
  • Bank Account Metadata — account names and connection status (we never access bank login credentials)

How We Use Your QuickBooks Data:

  • Reviewing and categorizing transactions
  • Preparing monthly financial statements
  • Reconciling bank and credit card accounts
  • Setting up and maintaining your Chart of Accounts
  • Generating financial reports and CFO advisory analysis
  • Creating journal entries and reclassifications (all write operations are reviewed by our accounting team before execution)

Data Security:

  • OAuth tokens are encrypted at rest using AES-256-GCM encryption
  • All API communication uses HTTPS/TLS encryption in transit
  • We never store your QuickBooks login credentials — authentication is handled entirely through Intuit’s OAuth 2.0 protocol
  • Access tokens are never logged, exposed in application output, or stored in plaintext
  • API requests are rate-limited to protect against abuse

Data Retention:

  • We retain your QuickBooks data for the duration of our service engagement plus 7 years as required for accounting records
  • Upon termination of services, you may request deletion of your data by contacting us at support@mtcsbusinessfinance.com

Disconnecting Your Account:

  • You can disconnect at any time from your QuickBooks Online settings under “Manage your apps”
  • You can also request disconnection from your MTCS account manager
  • When disconnected, we immediately revoke all OAuth access tokens — we can no longer read or write data in your QuickBooks account
  • Previously synced data is retained per our data retention policy above

We do not sell, rent, or share your QuickBooks financial data with any third parties. Your data is only accessed by MTCS Business Finance team members providing your bookkeeping and advisory services, and our automated accounting systems that assist with transaction categorization and reporting.
